Public Notice Coordinator
IBJ Media is seeking a Public Notice Coordinator to join our legal advertising team. IBJ Media is a fast paced, locally owned business informing Hoosier professionals of breaking news that impacts Indiana businesses. This position requires excellent customer service, attention to detail, verbal and written communication skills, and the ability to multitask. In this role the candidate will serve as the point person to assist customers in placing public notice advertising in the weekly Court & Commercial insert to the Indianapolis Business Journal, paying close attention to deadlines, proofreading notices, confirming publication, processing cancellations and coordinating invoicing. The position also includes performing back-up services for the customer service team, including duties associated with answering subscriber calls and emails, contacting expired subscribers and processing subscriber payments. On the accounting side, the candidate will be responsible for payment processing for public notices, processing ageing reports, collecting on past due invoices and additional general tasks as assigned.
List of Duties for Public Notice Coordinator
Public Notices
- Create, print and email/mail affidavits and invoices
- Make and take phone calls for payment of public notices
- Assist customers with public notice requests via phone, email and in person walk-ins
- Proofreading and formatting public notices for publication
- Uploading public notices to HSPA website
- Working with the internal design team to layout public notices for publication
Customer Service
- Answer incoming calls to company switchboard and process incoming mail
- Answer subscriber calls and emails in a backup capacity
- Make outbound calls to expired subscribers in a backup capacity
Accounting
- Process checks and credit card payments for public notice invoices
- Monitor ageing reports and collect on past due invoices
Qualifications
- Minimum 1-2 years administration related experience, including internships
- Strong skills with Microsoft Office products, including Word, Excel and Outlook
- Strong verbal and written communication skills
- Highly organized and detail oriented
- Ability to work in a fast-paced environment and meet deadlines
